Third Sector Dumfries and Galloway is committed to protecting your privacy when you access our services or visit our websites and application. In this notice, we explain how and why we collect your information, what we do with it and what controls you have over our use of it.

Our data processing
Third Sector Dumfries and Galloway collects and processes information about you to provide you with the products, services, or information that you have requested or use. Most commonly, this will be collected if you sign up for an event on our website, apply for funding, or contact us for support.
We may request the following personal data from you:
- Name
- Email address
- Postal address
- Telephone number
- IP address
If you do not wish to provide your personal data, we will help you as best we can, but our support will be limited depending on the nature of your enquiry.
Lawful bases for processing your personal data
We will only use your personal data when the law allows us to do so. Most commonly, we will use your personal data where:
- It is necessary for our legitimate interests to meet the aims of our organisation whilst respecting your interests and rights
- You have given us your consent

Our data sharing
Third Sector Dumfries and Gallowaywill not share, sell, or rent your personal information to third parties. However, we may disclose your personal information to third party suppliers who provide services on our behalf and if you have opted in and/or given consent for this.
If we do need to share your personal data, we will always have appropriate controls and processes in place through written contracts with our third-party service providers. Any data sharing will comply with Data Protection Law, and where possible, we will anonymise data prior to sharing.
Information about our services
It is very important to us that we provide you with the highest level of service. To help us do this, from time to time Third Sector Dumfries and Galloway may send you details of our products and services that we think may be of interest to you. You will previously have ‘opted in’ to receive information from us.

Security
Third Sector Dumfries and Galloway places a great importance on the security of all information associated with our customers. We have appropriate security measures in place to protect against the loss, misuse and alteration of customer data under our control. For example, only authorised personnel have access to user information that is protected by strong passwords together with up-to-data firewalls and anti-virus software. While we cannot ensure or guarantee that loss, misuse or alteration of data will not occur, we use our best efforts to prevent this.
Data storage and retention
Information that we collect is stored on a computer located in the United Kingdom. Information submitted by you may be transferred by us to reputable third-party suppliers, which may be situated outside the European Economic Area. Not all countries outside the EEA have data protection or privacy laws.
We will not keep your personal data for any longer than we need it. All data will be securely disposed of once it is no longer required. If you sign up to attend one of our events, your personal data will be stored for five years. If you apply for funding with us, your personal data will also be stored for five years.
